Custom Fields for Products — keep your own data next to every product

Keep your own data — HS codes, certifications, lab reports — on every product instead of in a spreadsheet. How to create custom fields, fill them in, and export them.

Custom fields are set up separately for products and for purchase orders. For purchase orders, see Custom fields for purchase orders.

Where product custom fields live

Everything happens on Configure → Products (the Product Configuration page). Your products are listed as rows — a product group with its variants underneath — and each field you define is a column across them.

Creating a field

There are two ways in, and they open the same form.

Option 1 — from the products grid

  1. Open Configure → Products.

  2. Click Manage Custom Fields → Add new field.

  3. Give it a name — up to 40 characters, and unique across your product fields.

  4. Pick a field type. Each one shows a short hint of what it is for.

  5. For Single Select and Multiple Select, add your options (between 2 and 10).

  6. Click Save.

Option 2 — from Settings

Go to Settings → Custom fields, open the Product tab and click Add custom field. Same name, type and options. This is also the page where you rename, reorder and archive fields later.

A field's type is fixed once it is created. If you need a different one, archive the field and create a new one.

Filling in values

Values are filled in directly on the Configure → Products grid. Click the cell you want and its editor opens on the spot:

  • Single line text, Long text and Number — type into the cell.

  • Date — click the calendar icon and pick the day, or type the date over the cell.

  • Single Select — your options open in a short list under the cell. Click one and it is written.

  • Multiple Select — the same list, and you can click as many options as you need; the cell shows them together, such as GOTS, OEKO-TEX. Clicking a chosen option again takes it off, and the × on the cell clears all of them. They appear in the order your options are defined, not the order you clicked them.

  • URL — type or paste the address. The cell's border turns red while the address is incomplete and back to blue once it is valid, and the saved value is shown as a clickable link.

  • Attachment — the cell opens a small panel with Add a file. Pick one file or several at once; each is listed with its size and its own × to take it off again. Images, PDF, DOC, XLS and CSV are accepted, up to 50 MB per file.

When you are done, click anywhere outside the cell. The value is saved as you leave it — there is no separate save button, and nothing to confirm.

A product group and its variants hold separate values. A value on the Classic Tee group row belongs to the style; S, M and L each hold their own. Nothing is inherited and nothing overwrites, so decide which level the data belongs to — the HS code and the certifications go on the group row, while the carton CBM and the net weight, which change with the size, go on the variants.

Arranging your columns

Column layout is set on the same Configure → Products page. Open Columns on the right edge of the grid to choose what you see. Custom columns are marked with a Custom badge, and the search box at the top helps when the list is long.

  • Show or hide a column with its checkbox. Hiding never touches the data.

  • Reorder by dragging a row in the Columns panel, or by dragging the column header in the grid itself.

Your column choices and order are saved for you.

Editing and archiving fields

Open Manage Custom Fields → Edit fields.

  • Renaming is always allowed. The column header changes immediately and every value is kept.

  • The type cannot be changed after creation.

  • Select options can only be added, never renamed or removed, because they may already be in use on your products. Up to 10 per field.

  • Archiving retires a field: it stops appearing on new products and its column leaves the grid, while the values already saved on existing products are kept. Archiving is forward-only — it cannot be undone, though the name becomes free to use for a new field.

Custom fields in your exports

Product custom fields are available in your product export templates.

  • In a CSV template, pick the field in the Data column and give the header whatever name you want in Column name.

  • In a PDF template, switch the field on; custom fields are marked Custom in the list.

  • Values come out as you would expect: a number as a number, a multiple select as one cell (Green, Red), a date as 2026-10-01 in CSV and 01.10.2026 in PDF.

  • Attachment fields cannot be exported to CSV or PDF. They stay in the app.

  • A CSV export lists variant rows only, so a value you need in a CSV belongs on the variant rows rather than the group row. A PDF export shows group rows and carries their values.

  • A template that already uses a field keeps exporting it after the field is archived. If you no longer want the column, remove it from the template.

Frequently asked questions

I created a field but I can't find it on the grid. New columns are added at the end. Scroll right, or open Columns and drag it to where you want it.

Can I change a field's type after I have used it? No. Archive the field and create a new one with the type you need. Values on the archived field stay on the products that have them.

Can I rename a field? Yes, at any time. The column header updates immediately and no values are lost.

Can I remove or rename one of my select options? Options can only be added — up to 10 per field. Existing ones stay because your products may already be using them. If the list is wrong, archive the field and start a new one.

Where should I put HS codes, EANs and other long codes? In a Single line text field. A Number field is built for quantities and amounts and keeps around 17 significant digits, so a longer code gets rounded. A code is an identifier, not a quantity — text keeps every character exactly as typed.

I picked a file for an attachment cell and nothing appeared. Check the file: it has to be an image, PDF, DOC, XLS or CSV, and 50 MB or smaller. Files outside that are not attached.

Why doesn't the value I set on a product group show on its variants? Group and variant values are separate on purpose, so you can hold one value for the whole style and different values per variant. Set it on the level you need it — including in exports, where CSV covers variant rows only.

I picked the wrong option in a multiple select. Click that option again in the list and it comes off the cell. To start over, use the × on the cell to clear every choice at once.

Can I sort or filter the grid by a custom column? Not on this page. Sorting is off for every column here, the standard ones included. Use the search box to find a product, or export the data and work with it in a spreadsheet.

Does hiding a column delete anything? No. Hiding only changes what you see; the values stay on the products and in your exports.

Do my column choices apply to my teammates? No. Which columns are shown and in what order is saved for each user separately.

Can I undo archiving a field? No — archiving is forward-only. The values already on your products are kept and stay visible, and the name is free to use again for a new field.
